Manual Upload
Learn how to upload documents manually to ExpensePro.ai.
Uploading Documents
The Upload page is where you can manually add documents to ExpensePro.ai for processing. Access it by clicking Upload in the sidebar.
Drag and Drop
The easiest way to upload is to drag files directly onto the upload area. You can drop multiple files at once for batch processing.
Click to Browse
Alternatively, click the upload area to open a file browser. Select one or more files to upload.
Google Drive
You can also import files directly from Google Drive. Click Import from Google Drive to browse your Drive and select files. You'll need to authorize ExpensePro.ai to access your Drive if you haven't already.
Supported File Formats

Note: Scanned PDFs (image-based) are automatically detected and processed using OCR technology.
Processing
Once uploaded, each document goes through these stages:
- Uploading — File is uploaded to our servers
- Extracting data — AI analyzes the document and extracts information
- Ready for review — Extracted data is shown for your review
Processing typically takes 2-5 seconds per document.
Reviewing Extracted Data
After processing, you'll see the extracted data including:
- Document type (invoice, receipt, statement, etc.)
- Vendor name
- Date
- Total amount and currency
- Line items
- Tax amount
- Payment status
- Reference/document number
Editing Data
All extracted fields can be edited. Simply click on any field to modify it. This is useful for correcting any extraction errors.
Viewing Original
Click View Original to see the original document alongside the extracted data. This makes it easy to verify accuracy.
Saving Documents
Once you're satisfied with the extracted data, click Save to add the document to your library. You can also use Save All to save all processed documents at once.
Tip: If you navigate away from the Upload page with unsaved documents, you'll be warned before losing your work.
Next Steps
After saving, your documents appear in the Documents section where you can:
- Search and filter documents
- Approve or reject pending documents
- Sync to QuickBooks
- Export to CSV
