Connect Gmail

Automatically scan your Gmail inbox for receipts and invoices.

Overview

Email integration allows ExpensePro.ai to automatically monitor your Gmail inbox for document attachments. When receipts or invoices are detected, they're automatically extracted and added to your document library.

Connecting Gmail

  1. Navigate to Email Connections in the sidebar
  2. Click Connect Gmail
  3. Sign in to your Google account
  4. Review and accept the permissions requested
  5. You'll be redirected back to ExpensePro.ai

Permissions: We request read-only access to your email. We can only read emails, not send or delete them.

Configuring Email Settings

After connecting, you can configure how ExpensePro.ai scans your email:

Labels/Folders

By default, we scan your entire inbox. You can restrict scanning to specific Gmail labels (folders) if you only want to process emails in certain categories.

Filter by Recipient

If you receive receipts to a specific email address (e.g., [email protected]), you can filter to only process emails sent to that address.

What to Extract

Choose what types of content to look for:

  • PDF attachments — Extract data from PDF files
  • Word documents — Extract from .docx attachments
  • Images — Process image attachments (photos of receipts)
  • PDF links — Download PDFs linked in the email body
  • Email body — Extract receipt data from the email text itself

Scan Mode

  • Continuous — Automatically scan for new emails as they arrive
  • Manual — Only scan when you click "Scan Now"

Retrospective Scanning

When first connecting, you can optionally scan emails from the past X days to catch up on historical documents.

Viewing the Audit Log

The Audit Log tab shows a record of all emails processed:

  • Email subject and sender
  • Whether documents were extracted
  • Any errors that occurred
  • Processing timestamp

This helps you track what's been scanned and troubleshoot any issues.

Multiple Inboxes

Each team member can connect their own inbox. Navigate to Email Connections while logged in to connect additional accounts.

Note: Documents from email are labeled with their source so you can easily identify where they came from.

Disconnecting

To disconnect your Gmail:

  1. Go to Email Connections
  2. Find the connection you want to remove
  3. Click Disconnect

Documents already extracted will remain in your library.

Troubleshooting

Emails not being scanned

  • Ensure scanning mode is set to "Continuous"
  • Check your label filters aren't too restrictive
  • Look at the Audit Log for any error messages

Connection expired

If you see an authentication error, you may need to reconnect. Click Reconnect to re-authorize ExpensePro.ai.
